Fees Described
Every YAY Gathering attender pays two fees:
- a Program Fee
- a Lodging and Meal Plan Fee
2025 Program Fees
The YAY program fee includes Junior Gathering, High School, Adult Young Friends, and Adult Friends programming.

2025 Lodging, Campus, and Meal Fees
Meals begin with dinner July 2 through lunch on July 6, and are included in lodging and commuting fees. For Friends staying on-site, breakfast, lunch, & dinner is included. For Friends commuting, lunch and dinner are included.
Most rooms at the Colombiere Retreat Center are double rooms (two twin sized beds) with bathrooms in the hallway. Some are not air-conditioned. There are a limited number of triple rooms, single rooms, rooms with attached bathrooms, and rooms with air-conditioning – those will be assigned based on family size and accessibility needs. Linens are included. Children on the floor must bring their bedroll, pillow, and towel.

2025 Pre-Gathering Housing
For Friends in specific volunteer roles who need to arrive earlier than Wednesday, or their traveling companions, here are the prices. For most volunteers who are asked to arrive early, FGC can cover your early arrival housing fee, but we cannot cover the housing fee for others arriving with you.

2025 Pre-Gathering Meals
For Friends in specific volunteer roles who need to arrive earlier than Wednesday, or their traveling companions, here are the meal prices at the conference center. Early meals need to be registered for in advance – you may not purchase them on-site. Alternately, you can choose not to have an early meal plan and eat outside the retreat center campus (this would require a vehicle as there aren’t restaurants within walking distance.)

Payments and Deposits
Deposits: The minimum deposit is the Program Fee(s) for your party, due when you register. If you are applying for financial aid from your meeting or from FGC, the deposit is $50.
We are unable to hold space if no deposit is received. If you cannot pay a deposit, please email lizd@fgcquaker.org before registering to explain your situation (for instance, you are waiting on your monthly meeting to pay the deposit.)
Deposits and other payments may be made by credit/debit card, electronic check, or paper check.
International Payments: Payments made in other currencies besides US dollars will be credited with the prevailing exchange rate at our financial institution on the day of deposit.
Cancellation Policy
- Cancellation must be in writing (email is preferred) or completed online by the registrant.
- Cancel by May 29: incur a charge of $50 per person ($150 maximum per family.)
- Friends offered financial aid have one week after the financial offer to cancel without any cancellation fee.
- Cancel after May 29: 75% of all fees will be owed even if you do not attend the YAY Gathering. 100% of fees for pre-Gathering housing and pre-Gathering meals will be owed.
COVID Cancellation Fee Waived:
Friends are reminded that FGC incurs costs for Friends that register even if they are unable to attend for any reason, including due to COVID or contagious illness. FGC has added a small amount to YAY Gathering fees charges to allow Friends and members of their immediate household to cancel if they contract COVID-19 or another serious contagious disease while ameliorating financial risks to the Gathering and the organization. In these instances, cancellation fees will be waived.
Additional Fees
- T-shirts are able to be purchased in advance of the Gathering through registration.
- Retreat center fees for lost room keys and swipe access/meal cards, room damages, and lockouts will be charged to the registrant.
- Returned check fees will be charged to the registrant.
