Overview: Gathering Fees Described

Every in-person full-time attender pays three fees:

There is no on campus lodging option for day pass attenders. 

Beginning June 1, there is a $60 late fee for all registrations. Late fees will not be charged for day pass registrations.

Beginning June 1, there is a $15 charge for any changes to housing or meal plans.

Children on the floor must bring their bedroll, pillow, and towel. Cots may be available on a first-come, first-serve basis.

Attenders may choose to purchase other items: early arrival rooms, t-shirts, and an attenders directory. T-shirts will be able to be purchased in advance of the Gathering on a print-on-demand website – the link will be posted here once it is live. The Attenders Directory can be purchased on-site at QuakerBooks. Shuttle reservations are purchased individually with our transportation provider.

2024 Program Fees

Program Fee is a fee every Gathering attender pays. It covers everything from space rental for Gathering events to sidewalk chalk for the children’s program to golf carts to staffing for the event. These will be posted as soon as we are able to confirm them with our host campus.

Adult Program Fee – $450 USD
Young Adult Program Fee (18-35 yrs) – $410 USD
High School Program Fee (up to age 18, read more) – $250 USD
Children & Youth Program Fee (Infant through rising 9th grade) – $205 USD
Family Discount on Program Fees (for families with dependents) – see linked below
Adult part-time program & campus fee, adults only (per day) – $130 USD

Family Discount

A family consisting of at least one adult plus dependents is eligible for a 15% discount on Program Fees. Full-time students under age 24 are usually dependents. Note that a spouse or domestic partner is not considered a dependent. However, if the family consists of at least one adult and one dependent, then the discount also extends to a second adult spouse or domestic partner. Dependents are registered oldest to youngest, and third, fourth and fifth dependents will not be charged a program fee. For the Family Discount to be applied, all members for the family should register together.

A grandparent plus dependents also constitute an eligible family. (“Dependent” means dependents of the grandparent, or dependents of another adult in the family who is not attending the Gathering.)

If you are not eligible for a Family Discount, the first registrant indicates that they are “not registering with dependents” and subsequent registrants respond to the question “Which registrant are you?” with “Other adult without dependents.”

Lodging & Campus Fees

All dorm rooms are single air-conditioned rooms. Prices posted here include 9% occupancy tax on housing, which is required by the municipality, and campus use fees. Learn more about housing choices.

2024 Pre-Gathering Meals (Friday dinner 6/28 – Sunday lunch 6/30)

Payments and Deposits

Deposits: The minimum deposit is the Program Fee(s) for your party, due when you register. However, if you are applying for financial aid from your meeting or from FGC, a reduced deposit of $75 per person is due one week after you learn of aid granted.

Deposits and other payments may be made by credit/debit card, electronic check, or paper check. FGC pays twice the fees for reward cards – whenever possible, avoid Visa Signature Preferred and Mastercard World Cards. Learn how to make a payment.

Canadian Payments: Payments made in Canadian dollars will be credited with the prevailing exchange rate at our financial institution on the day of deposit.

Cancellation Fees

  • Cancellation must be in writing (mail or email)
  • Cancel by May 31: incur a charge of $50 per person ($150 maximum per family.) See our full cancellation policy for exceptions – Friends offered financial aid have one week after the offer to cancel without a fee.
  • Cancel June 1–8: the cancellation fee will equal 50% of program fees.
  • Cancel after June 8: 75% of all fees will be owed even if you do not attend the Gathering.

Friends are reminded that FGC incurs costs for Friends that register even if they are unable to attend for any reason, including due to COVID or contagious illness. Beginning this year, FGC is adding a small amount to all Gathering charges (registration and pass through room and meals fees) to allow Friends and members of their immediate household to cancel if they contract COVID-19 or another serious contagious disease while ameliorating financial risks to the Gathering and the organization. In these instances, cancellation fees will not apply.
