Confirmation Letter to Registrants
July 27, 2004
Dear Friend,
Welcome as a participant in Illuminating Our Divine Connections, FGC’s religious educators conference to be held at Camp Asbury, Silver Lake, New York, August 19 to 22.
Enclosed you will find a receipt indicating your workshop and interest groups by code. Please see the registration form for titles. You can also view the advance program on FGC’s web site, http://www.fgcquaker.org, (see Upcoming Events). Your receipt also indicates your balance due at check-in. We accept cash or personal checks as payment; no credit cards, please. To avoid confusion, please do not send payments to the FGC office.
Cancellation Policy: If you cancel your registration on or before August 11, you will receive a refund, less a cancellation fee of $50 per form. After August 11, there are no refunds, and all fees due.
In this mailing there is a map and driving directions, a camp map, and a transportation information sheet. If you would like help getting from an airport to the conference site, please read the transportation sheet, follow the instructions, and get your request to the FGC office by August 11. If we do not hear from you, we will assume you are making your own arrangements. Registration/check-in will be in the dining hall as indicated on the camp map; parking is adjacent. You will receive your room/cabin assignment(s) at that time.
If you are coming to the conference with children, you will also find in this mailing a letter for all parents and a medical form/release for each child. Please complete the medical form for each conference participant under age 18 and present it at check-in. This is for your children’s safety as well as for yours and ours.
Since program leaders and staff will be attending a pre-conference retreat on Wednesday and Thursday, please plan to arrive at Camp Asbury on Thursday the 19th after 2:00 pm. The conference will begin with dinner at 6:00 pm, followed by a welcome and introductions at 7:30 pm and cluster group gathering at 8:00. Unless families requests otherwise, we will keep families together in these cluster groups. Please let Michael Gibson (michaelg@fgcquaker.org) know if you plan to arrive after dinner so that he can adjust the meal count accordingly. Contact him, too, if you have any questions about your balance, workshop and interest group participation, or transportation assistance.
There is electricity and running water in each cabin. There is no air conditioning at the camp. There will be sheets for all the beds, and towels for each participant, but please bring a pillow if you are driving (a limited number of pillows are available.) You may want to pack a fan, an extra blanket, a reading lamp, insect repellant, a flashlight, a swim suit, a cloth napkin and a reusable cup or mug.
Very real health issues for members of our community are environmental illness and allergies. Out of consideration for these Friends, we ask that Friends not use unnecessary scented products (cologne, perfume, aftershave) and we urge Friends to consider bringing unscented soap, deodorant, shampoo, and other necessary personal care products.
On behalf of the Religious Education Committee, the conference planning committee, and the twenty program leaders of this conference, we look forward to many opportunities for mutual sharing and learning, for worship and refreshment, and for great fellowship. See you soon . . . and, please, have a safe trip.
Michael Gibson (FGC RE Coordinator), Robin Wells & Gail Thomas (FGC
RE Coordinator Co-Clerks, REI planning committee), Beckey Phipps (Clerk, RE
Committee)
